When to use this: you are being asked — by a partner, an auditor, or your own good sense — what this program on the counter PCs actually does with your data.
BitMed Link is designed to keep counter-to-counter communication local and to send only the information required for store registration and synchronization.
This page explains what data leaves the counter PC, how counters verify each other, and where local data is stored.
What data leaves the counter PC?
BitMed Link communicates in two ways.
1. Counter-to-counter sync
When counters are connected to the same local network, BitMed Link exchanges supported store data between them, including:
- Stock movements
- Completed bills
- Returns
- Parked bills
- Customers added at a counter
- Doctors added at a counter
This communication happens over the store's local network.
2. BitMed registration and connection
BitMed Link also connects to BitMed over the internet for:
- Initial counter pairing and registration
- Renewing the counter's permission to connect
- Updating the list of counters associated with the store
BitMed Link does not require an incoming connection from outside the store network.
How counters verify each other
Each counter has its own identity when BitMed Link is installed.
- Each counter has its own identity key.
- The key is stored securely on that Windows PC and is associated with that machine.
In a cloud-configured installation with its identity key intact, BitMed Link uses encrypted counter-to-counter connections and verifies signed messages and the counters' store identities. Pair each counter with your store before using it.
These protections are not guaranteed merely because the service is running. Without the cloud configuration, a development or unconfigured installation can use unencrypted connections and trust a peer on its first connection instead of checking its identity against BitMed. A lost identity key also prevents the normal secure setup.
Check the pairing health response: cloudAnchored must be true, pairing must be complete, and diagnostics must not report a lost key. If these checks fail, contact support for the correct installer or re-pairing instructions before relying on local sync.
How BitMed Link prevents duplicate or missing records
BitMed Link tracks records exchanged between counters so that temporary network problems do not normally create duplicate records.
Duplicate messages
If the same message is received more than once, BitMed Link recognizes the duplicate and applies it only once.
Temporary connection loss
If a counter loses its network connection or restarts, pending sync information can be processed when the connection is available again.
Bill numbers
Each counter maintains its own bill number sequence.
When a parked bill is moved to another counter, the bill keeps the number that was originally assigned to it.
Power failure
If a counter loses power during local activity, BitMed Link keeps the completed local records and continues processing when the counter starts again.
What can BitMed support see?
BitMed support does not have direct remote access to the counter PC through BitMed Link.
If you contact support, you may be asked to export a diagnostics bundle from:
Settings → Sync & Diagnostics → BitMed Link Diagnostics → Export diagnostics
The diagnostics bundle is intended to help identify service, network, and synchronization problems.
Before sharing a diagnostics bundle, review its contents if your organization's policy requires it.
Where is local data stored?
BitMed Link stores its local data on each counter PC.
The default data location is:
C:\ProgramData\BitMed_Link
This directory contains the local record store and service logs.
The local database may contain store-related records such as:
- Bills
- GST-related information
- Sync information
- Service logs
Protect access to this folder using the normal Windows account and security controls on the counter PC.
What happens if the counter is replaced?
If a counter PC is replaced, the new PC must be installed and paired with the store.
Do not copy the BitMed Link data directory from one counter PC to another unless BitMed support specifically instructs you to do so.
For the replacement procedure, see replacing or removing a counter.
Security checklist
For a secure BitMed Link setup:
- Keep Windows and BitMed Link updated.
- Use administrator access only when required.
- Keep counter PCs on the trusted store network.
- Do not use an isolated Guest Wi-Fi network for counters that need to sync.
- Keep Windows Firewall and antivirus protection enabled.
- Do not share the BitMed Link local data directory with unauthorized users.
- Share diagnostics files only with your authorized BitMed support team.
Important
BitMed Link uses the local network for counter-to-counter synchronization. The internet connection is used for BitMed services such as registration and store-related communication.
If you need to understand exactly which data is synchronized for a specific BitMed feature, check the documentation for that feature or contact BitMed support.
