How to Link Customers & Doctors to a Bill

On this page

When to use this guide: To attach a customer profile for credit sales, track purchase histories, apply customer discounts, or record prescribing doctor details for prescription items.

Linking a Customer

Step 1: Open Customer Window

Press F3 on your keyboard to open the Customer Panel.

In the picture above, 1 is the phone number you type, 2 is the customer found on that number — click Link to attach them — 3 starts a new customer on this number, and 4 leaves the bill as a walk-in.

Step 2: Search by Mobile Number

Type the customer's 10-digit phone number into the mobile field and press Enter. If the customer exists, their name and account balance will match instantly.

Step 3: Or Add a New Customer Instantly

If the customer is new, simply type their name and phone number and press Enter.

BitMed creates the customer profile in the background and attaches them to the current bill immediately—no need to switch pages or open complex registration forms!

In the picture above, 1 is the Name — the only required field, marked with a star — 2 is the optional Email and Address, and 3 is Create & Link, which saves the customer and attaches them to this bill in one step.

Linking a Prescribing Doctor

You can attach a prescribing doctor to any bill at any time:

  1. Click the No Doctor chip on the top bar, or press Shift + F4.
  2. Type the doctor's name or medical registration number to search existing records.
  3. If it's a new doctor, type their name and registration number to save them for future use.

Once linked, the chip shows the doctor's name instead of No Doctor.

Schedule H1 and X: BitMed asks for the details

For Schedule H1 or Schedule X medicines you do not have to remember any of this. When you try to take payment on a bill containing one, BitMed stops and opens Prescription Details Required by itself.

These details go into the statutory drug register, so every field marked with a star must be filled before the sale can go through.

In the picture above:

  • 1 lists exactly which medicines on this bill triggered the window, with their batch numbers.
  • 2 is the patient side — the linked customer, plus the Patient Name and Patient Address the register needs.
  • 3 is the prescriber side — the linked doctor, plus Doctor Name, Doctor Address and Doctor Registration No.
  • 4, when ticked, writes anything you corrected back to the customer and doctor profiles, so the next bill prefills it.
  • 5 is Confirm & Proceed, which records the entry and carries on to payment.

If the patient or doctor is already linked to the bill, their details are filled in for you and you only have to check them.

Good to Know

  • Walk-in Default: Bills without a linked customer automatically show as "Walk-in". This is completely normal for fast OTC counter sales.
  • Mandatory for Schedule H1: For Schedule H1 prescription medicines, linking patient and doctor details is mandatory before finalizing the bill.
