Demand analytics & shortage review

When to use this: deciding what to stock — with data instead of gut feel. Needs an internet connection (it reads live sales history).

Steps — Demand Analytics

  1. Open Reports → Demand Analytics. Click Reports in the left menu, then click Demand Analytics from the list.

  2. Pick a window. Choose 7d, 30d, or 90d to set how many days of sales history the numbers are based on.

  3. Sort or search. Use the Sort dropdown (Lowest coverage first, Highest demand first, or Name A–Z), or type in the search box to find one product.

  4. Read the summary chips. Four chips show how many products are critical, low, healthy, or no sales (in stock but nothing sold in the window — dead stock). Click a chip to filter the list to just that group; click it again to clear the filter.

  5. Read a row. Each product shows its current stock, daily demand, and coverage — roughly how many days the current stock will last at the current sales pace. The Status column colour-codes the same thing the chips count.

Steps — Shortage Book

  1. Open Reports → Shortage Book. Click Reports in the left menu, then click Shortage Book. This lists what customers asked for that you didn't have in stock (logged at the billing counter — see INV-08 for how an entry gets created).

  2. Pick a date range and a status. Use the From/To buttons, and the status dropdown: Pending, Ordered, Fulfilled, or All. Rows are grouped by the product's supplier.

  3. Order from here. If your account can create purchase orders, you'll see a Create Purchase Orders button (top) and an Order from [Supplier] link on each supplier's group. Either opens the Order Assistant, pre-filled with that supplier's shortages — repeated requests for the same product are a strong sign to start stocking it.

  4. Export. Use Export CSV or Export PDF at the top right.

Good to know

  • If you don't see the Create Purchase Orders button, your account doesn't have purchase-order permission — ask your owner/admin, or place the order yourself another way.
  • Feed both Demand Analytics and the Shortage Book into your next purchase order (→ PUR-02).
